Setup guide for Woolworths Everyday Marketplace

Complete your Woolworths Everyday marketplace setup.

Please read this FAQ fully before you proceed.  You may want to consider this article written by our Dev Team.

    This article includes setup with configuration and technical instructions.  The Woolworths Everyday Marketplace is engineered by Marketplacer; some of the setup steps in Omnivore are customised and differ from other mainstream markets.

    Before you begin please be aware of the following points:

    1. To sell on the Woolworths Everyday Marketplace using Marketplacer there must have an active and approved selling account. To confirm please check with the onboarding team at Woolworths Everyday Marketplace. (Note: Most retailers are introduced to us by the Woolworths team. However, there may be cases where the retailer reaches out directly to us - In this case, we need to confirm with Woolworths that they're an approved seller before proceeding)
    2. Once we know the seller is approved to sell on Woolworths, the relevant canned response containing information about onboarding fee and ongoing fee can be shared with the retailer.
      • Existing Omnivore retailer, adding a new marketplace - Refer to canned response under the Woolworths folder 'Intro email to existing omnivore seller - Fee'
      • New to Omnivore retailer, adding Woolworths as the first marketplace - Refer to canned response under the Woolworths folder 'Intro email to new seller - Fee'
    3.  Once retailer confirms they're happy with the fee, then the canned response with an overview of the process and timelines can be sent to the retailer - This email has a checklist of things we need from the retailer. (Eg: Retrieve the API Key from the Woolworths Everyday Marketplacer team.).

    4. The setup in Omnivore can begin alongside this, or we can wait for them to share the API key and complete the set-up all at once.
    5. With these points in mind setup in Omnivore can continue.

    Setup & Configuration

    1. Before you proceed, steps 1-13 below include:  Adding The Marketplace + Refreshing Brand & Categories + Complete fields on the 'Settings - General' page in Omnivore. These must be completed first and are best done in order.
    2. Add the Woolworths Everyday Marketplace into the Omnivore instance.   To do this navigate to the Settings, Marketplaces page in Omnivore, select Create Link and Config.
    3. When the market has been added you will see the Woolworths Everyday Marketplace Tab in Omnivore, click Settings - Woolworths Everyday Market - General to view the Connection and Advanced Settings section.  
    4. On this page add the API Key Credentials retrieved from the Woolworths Everyday Marketplace Team.
    5. Scroll down and click Update and Check Connection.
    6. Brand & Category Retrieval and Update Steps.  See the article at the very top of this page to 'Retrieve Brands allowed for the seller' (written by dev).  
    7. To begin this process in Omnivore navigate to Retailer Admin - New Dashboard - see Marketplacer rest api - click 'Download Brands create/update Marketplace Brands'.
    8. This process can take a few seconds to complete so if nothing appears to change on the screen give it time.
    9. When this job is complete it will display a screen like this - done, active brands = 992.
    10. This process for brands can also be applied when you are just updating brands for Woolworths Everyday Marketplace.
    11. Navigate to Marketplace Admin - Marketplaces - on this page scroll down to find Woolworths Everyday Marketplace and click 'View Brands' to check that the brands have been imported for that new marketplace you just added.  For more required Brand Settings for Woolworths Everyday, see 'Brand Options' below.
    12. While on this same page in step 10 click the Refresh Categories button for that newly added market.
    13. As you continue please refer to the two screen captures below. 
    14. Insert the 'Seller GraphQL Id' into the respectively named field.  For Woollworths this ID is the same for every seller: U2VsbGVyLTEwOA==
    15. Before proceeding click Update and Check Connection.  
    16. Omnivore can add dimensions for Shipping Setup if you do not have this information in your product data - please ask Woolworths if you have to supply dimensions.
    17. Tick the 'Validate Product Attributes' check box if it is not ticked as part of the config.
    18. Insert N/A into the Not Available Value field.
    19. Default Order Email, please read this FAQ to determine if you need this or not.
    20. Shipping Profiles.  If you are using shipping from the marketplace tick the 'Use Shipping Policies' box - follow this article for next steps.
    21. Prefix Order Number, see full explanation below under the heading 'Órder Settings' below.
    22. The Use Map Brands check box can be left unticked, please speak with your Integration Specialist.
       
    23. If necessary, import your products from you eCommerce Store.  The e.g. below shows the Import from Magento2.  If there are other marketplaces already active in Omnivore you don't need to do this step. 
    24. At this stage you are connected to the Woolworths Everyday Marketplacer Operator but you are still in setup mode so product feeds, syncing and uploads have not started yet.

    Summary of Seller Settings

    • Product Identifiers:  if ticked we will not send UPC or Barcode data to the market.
    • Max Stock Quantity: used to define the max stock quantity we will push to the market.
    • Validate Product Attributes:  must be ticked for Woolworth Everyday Marketplace.
    • Use Map Brands:  please see Brand Section below.
    • Use Shipping Profiles:  More information on Shipping Setup below.
    • Prefix Order Number:  this must be ticked by default. This will insert the word 'woolworths' at the beginning of each order number.
    • Use GraphQL:  obtain the seller GRAPHQL id from the Woolworths Everyday Marketplacer Team.


    Important:  Any changes made to the Advanced Product Settings have to be saved by clicking Update at the bottom of the page. During the setup phase a marketplace category refresh within Omnivore must also be completed (part of steps 10 and 11 above).

    Required Check List

    Decide Which Products to List

    • Omnivore has the function to Block and Exclude Products from listing, this means you can pick and choose what to list by blocking and unblocking products.

    Shipping Setup

    There are two options for Shipping Setup:

    Shipping Profiles from the Marketplace OR Shipping Policies setup with Omnivore.

    Note:  Woolworths Everyday Market has very specific Shipping Requirements. We need to setup every seller as 'Free Shipping' on Omnivore. Woolworths charge postage based on their cart rules and it's not set at a seller level - Sellers are encouraged to include their shipping price into the product price.

    Brand Options

    There are two brand options, Map Brand OR Brand Slug (default)

    Map Brands:  if the 'Send the value as Map Brands' field is ticked in Omnivore this means the retailer brand we send to the Marketplace has to be mapped on the Marketplace side, this is done by the Markeplacer Team or the retailer.

    OR

    Brand Slug:  this is the default brand setting, in this case we send a brand list to the Marketplace, once that brand list is in the Marketplace's Database we then reimport the brand list with any changes made by them.  The reimported Brands in Omnivore now match what the Marketplace has.  No further steps by the retailer or Omnivore are required.

    Order Settings

    Within the Omnivore go to Settings - Woolworths Everyday Market - General, the field called called 'Prefix Order Number' must have a value entered.   Whatever value is added into this field must also to have a - on the end.

    Eg woollies- will prefix the order number with that value.  So your order reference number will be formatted like this example: " woollies-565234 ". The default value is "woolworths-123456" unless the retailer tests and confirms that it's too lengthy for their system. We change this value as an exception.



    Category Mapping

    • To successfully list a product it must be mapped to an Woolworths Everyday Marketplace Category.  The Category Mapping process in Omnivore is the same for all marketplaces.

    Product Identifiers

    • This includes GTINs, UPC and EAN; the general rule on if product identifiers are required is defined by the marketplace.   Omnivore imports product identifiers from the eCommerce Store, if the data is not required we do have functions to not send that type of data.  For Marketplacer Markets this settings is on Settings - Woolworths Everyday - General - Product Identifiers.

    Other Data Requirements

    • This includes mandatory and optional attributes required by the Marketplace
    • Woolworths need mandatory weight information for ALL products and sellers - This cannot be added as an attribute in Omnivore, and needs to be changed at the source.
    • Woolworths need item_size and item_unit for these categories - These attributes are shown as 'optional' on Omnivore, however they're to be treated like 'mandatory' attributes. Item size is a numeric value. Item unit is a drop-down list and only a value from the drop-down is accepted. [Eg: Face Mask Sheets 4Pack. Item_size = 4 ; Item_unit = Sheet]
    • Food and certain other products require mandatory 'Gourmet' and 'Therapeutic_goods_enabled' attributes to be filled out. Both are drop-down lists and values need to be selected as is. These are shown as 'mandatory' and therefore, easy to notice and not miss.
    • Sellers often need title updates due to stringent title formats required by Woolworths. These changes can either be made directly at the source or updated in Omnivore. Brand name in the title, needs to match the brand name shown in the 'brand' attribute as well as the product image. Refer to Woolworths data guidelines for more details - Product Image and Data Requirements – Everyday Market 
    • Barcodes are mandatory for all products. The only exceptions are if it's an unbranded product owned by the retailer or for SKUs that are combo packs or sets made up of multiple products, as there's no way to assign one barcode to such packs. Eg: Face Mask, Cream, Lotion Pack or Luggage Set including Carry-on, Check-in and Duffle.
    • There are strict image requirements and it's best to rectify this before we upload products to Woolworths - Image edits after products are sent to Woolworths need to be handled slightly differently, as Marketplacer appends new images instead of replacing them - Please reach out to the Onboarding team until the instructions are updated here.

    Start Selling

    • While setting up the Woolworths Everyday Marketplace in Omnivore the integration is in Setup Mode, this means that feeds, syncs and uploads have NOT commenced yet.  As you complete the many setup steps Omnivore will automatically reveal the Start Selling button on the Dashboard.   In order for you to go live on the Marketplace you must hit Start Selling.   There are checks and tests that we recommend before Start Selling is activated.

    Post Launch - Common Support Touchpoints

    • When a seller is adding new range - Woolworths need to create the brand in Marketplacer. We then need to follow steps highlighted in 'Step 7' in the above set-up guide to download these brands. If products are uploaded without this step, it shows up as 'Unbranded/Other' on Woolworths website.
    • If category is not found - We refresh categories and attributes for all sellers being onboarded. However, if a seller can't find a specific category, it's worth re-doing the steps highlighted in 'Step 6' in the above set-up guide.
    • Deciphering Errors - Retailers may need assistance with listing errors that may not be straight-forward. Most listing errors are due to missing required attributes, missing weight, or selecting values not from the accepted drop-down values list (Troubleshooting can be done on the Marketplace Attributes Page for everything except weight)
    • Data team rejections - Once we upload products to Woolworths, their data team vet each product individually and highlight errors on a manual spreadsheet. Woolworths share this spreadsheet directly with the retailers and these errors are not returned to us via the Marketplacer API, therefore, not shown under Listing Errors. These are usually data guidelines that haven't been followed by the retailer - For example: incorrect image size, not meeting hero image guidelines, not formatting the title according to data guidelines, brand name not consistent across the product and image, missing barcodes etc.,
    • Price promotions to increase/decrease price on Woolworths - Sellers might reach out to us to set special discounts for Woolworths Marketplace only. Sellers might also reach out to increase the price on Woolworths or build the postage price into the product price.
