Why Dashboard Product Numbers Change

Understand why product counts and inventory parity can fluctuate while catalogue and marketplace updates are processed.

The product numbers displayed on the dashboard can change while Omnivore, your ecommerce platform and connected marketplaces process catalogue updates. A changing number does not necessarily mean products have been permanently deleted or removed.

Your Ecommerce Platform Affects the Total Product Count

Omnivore regularly imports product and inventory information from your connected ecommerce platform. The total number of products available to Omnivore can therefore change when the source catalogue changes.

This can happen when products in your ecommerce platform are:

  • Added or deleted
  • Enabled or disabled
  • Made available or unavailable
  • Updated with new product or variant information
  • Changed during an ecommerce platform catalogue import

The total may also fluctuate while Omnivore is importing and processing the latest catalogue data. The figure shown during this period may be transitional rather than the completed import total.

What “Listed” Means During a Marketplace Sync

When Omnivore sends products to a marketplace, all mapped products that are available for listing are initially considered listed on the dashboard.

At this stage, the marketplace may not have finished validating or publishing every product. The initial Listed count should therefore be treated as a processing status—not confirmation that every product is live and available for purchase on the marketplace.

If the dashboard shows Refreshing, the displayed figures may still be changing.

When a Marketplace Is Still in Setup

If a marketplace is not yet live and has the status In Setup, the Listed number represents products that are ready to be listed when the marketplace goes live.

These products have not been sent to, accepted by or published on the marketplace. In this situation, Listed means ready to list - not currently live on the marketplace.

Once the marketplace goes live and the products are submitted, the numbers may change as the marketplace validates the products and returns its results.

Marketplace Error Reports Can Be Delayed

After Omnivore sends products to a marketplace, the marketplace is responsible for processing and validating them and returning any error results to Omnivore.

Some marketplaces return listing results quickly. Others can take considerably longer, and results may arrive in multiple batches. This timing is controlled by the marketplace and is outside Omnivore’s control.

Until the marketplace returns its results, Omnivore cannot confirm which products have been accepted or rejected. Products may therefore continue to appear as Listed even though the marketplace has not completed its validation.

Omnivore updates the dashboard after the marketplace returns its results and those results have been processed. A delay in the Listing errors count increasing does not necessarily mean that no errors exist - it may mean Omnivore is still waiting for the marketplace’s response.

What Happens When the Marketplace Returns Its Results

When Omnivore receives and processes the marketplace results:

  • Products accepted by the marketplace remain considered listed.
  • Products rejected with an error move from Listed to Listing errors.
  • The Listed number decreases.
  • The Listing errors number increases.

Imports, synchronisation, indexing and other background jobs can continue processing after results are received. The numbers may therefore change more than once before settling.

Example of How the Numbers Can Change

Suppose Omnivore sends 10,000 mapped and available products to a marketplace.

During the initial sync, the dashboard may show all 10,000 products as Listed. The marketplace then validates the products and returns listing errors for 500 of them.

Once Omnivore processes those results:

  • Listed decreases from 10,000 to 9,500.
  • Listing errors increases to 500.

This change means the products were reclassified after the marketplace returned its validation results.

If the marketplace takes time to return the errors, the dashboard may continue to show 10,000 products as Listed until those results are received and processed.

Numbers on the All Marketplaces Tab

The All Marketplaces tab provides a summary for each connected marketplace, including Products and Inventory Parity.

During a sync, the Products figure may temporarily include all mapped and available products submitted for listing. After the marketplace results have been returned and processed, the figure more accurately reflects the current listing outcome.

Inventory Parity may also change while updated product, inventory and listing information is being processed. Treat this percentage as a current dashboard snapshot rather than a final figure while an import, sync or background job is running.

Numbers on an Individual Marketplace Tab

The individual marketplace tab provides more detail about why products are or are not considered listed.

Products that are not listed may be grouped into statuses such as:

  • Need a category to list
  • Have no inventory
  • Have been blocked
  • Have listing errors

This view is more useful than the All Marketplaces summary when investigating why a product count has decreased. Select the relevant status to view the affected products and any action required.

When to Check the Final Numbers

For the most reliable comparison:

  1. Allow the ecommerce platform catalogue import to finish.
  2. Confirm that the marketplace is live rather than In Setup.
  3. Allow the marketplace sync to finish.
  4. Allow the marketplace to validate the submitted products and return its results.
  5. Wait for Omnivore to process the returned results and complete its background jobs.
  6. Check the individual marketplace tab for listing errors and other not-listed statuses.

There is no single processing timeframe that applies to every ecommerce platform or marketplace. Do not treat figures shown during an active import or immediately after a marketplace upload as the final product or listing count.
